Prepare your business for Copilot.
Copilot is only as good as the information it can access. Six practical steps to get started safely.
1. Review who can see what
Copilot only shows what a user already has permission to see – but it finds all of it. Old shared folders and open Teams spaces suddenly become visible.
Go through SharePoint, Teams and OneDrive. Restrict access to payroll, HR matters, contracts and board material, and remove old sharing links.
2. Secure the foundation
Check that the right Microsoft 365 licences are in place and that sign-ins are protected with multi-factor authentication.
Managed devices and clear administrator roles mean Copilot is used in an environment you control.
3. Label sensitive information
Simple sensitivity labels, such as "Internal" and "Confidential", help both people and Copilot handle information correctly.
Start with a few labels everyone understands – simple and used beats advanced and ignored.
4. Tidy up your documents
Copilot gives better answers when information is current. Archive or delete old versions and duplicates.
Decide where important documents belong, so the right material is found.
5. Start with a small pilot group
Choose a few people and two or three concrete tasks: summarising meetings, writing drafts or working through long email threads.
Measure what it saves, collect questions and expand where it works.
6. Teach the team to work with Copilot
Short sessions around real tasks achieve more than long courses.
Make it clear that a person always reviews the result before it is used or passed on.
